Through the years, I've tried everything with speaker management. Here are the 5 most effective tactics and strategies to correctly manage speakers at events.
APYS
Always Pay Your Speakers. I’m sorry but there is no workaround. Many many times, I’ve heard event professionals complaining about speakers that didn’t behave well, only to discover they actually didn’t pay them anything. How do you work with other suppliers if you don’t pay them?
2. There is No I in Team
Speakers are prima donnas. Honestly, you don't want it any other way because they have to hold a room together, they have to keep a room engaged. But if speakers kind of go beyond the boundaries of what is acceptable, in terms of being prima donnas, that’s when you need to step in. You do that with contracts that take care of all the details, what’s expected from them, how they need to present, the formats of the slides, how they need to engage with the attendees, if there are any social media activities expected, so make sure you plan ahead to that.
3. Choose Your Tech Wisely
If you've invested a lot with speakers, you paid them to participate in your event, you want to use an event management platform that extends the power of your speakers, and gives you the opportunity to promote all the content they make and create for your event. So make sure that you choose a platform that has embedded speaker management, and knows how to get the most out of the content that they can create.
4. Never Control the Content of the Slides
If we chose those speakers well, if we have researched those profiles, we know they’re subject leaders, we know they can engage with our audience, we don’t need to get into the format of their slides. If your speaker is showing up at your event with a presentation full of bullet points, unengaging, size 10 font, that nobody can read in the room, it’s your fault - you chose them. And some speakers don’t actually need presentations at all. Work with them, give them a good brief, but don’t go beyond that.
5. Make Smart Templates
Instead of controlling the content of your speaker’s slides, you may want to create effective templates. Because at the end of the day, we know that bullet points don’t work. We know that a lot of text doesn’t work. What are you doing about it? Don’t leave it to the speaker. Create templates that you know will engage with your audience. Be a content editor for your event.
The relationship you have with your speakers defines the outcome of your event. A poor speaking performance will become a poor event performance. The way you handle content at your events is one of the most important factors in how we evaluate conferences.
