The topic of this video is: How Do We Submit Our Enrollment To You?
Here is some of what is discussed in this video:
Charlie: If I'm the Head of HR/Benefits and I have a large list of people that are in my company already. How do I submit that to a good vision insurance company? Is there only one way? Do I have to follow all your tight rules or are there other ways I can submit who my employees are?
Daniel: There's probably 10 different ways and they're all similar. Mostly it's electronic these days. There's file feeds. There's a standard HiPPA compliant 834 -- I believe that's what it's called, I'm not into the tech side. Larger companies usually give us some type of data feed. There's a standard HiPPA version. There's usually a proprietary version.
Also, Excel spreadsheets and down to even old-fashioned paper. If it's a company paid plan you're transferring all the data and everyone has the plan, typically it's tied to medical possibly. If it's voluntary, then they have to figure out a way to allow the employee to choose.
Again, that could even be done with paper. If you're a really small company, maybe paper is actually easier.
So, yes, there's a variety of ways.
Charlie: In that though, now it's two weeks later and I've had three new employees join. What do I do then, do I have to start all over again?
Daniel: You could call the company, hopefully they have a department set up to do that on the fly. Most carriers, I think, have some type of access online and HR/Benefits departments can do that type of stuff on their own, simple adds and deletes, terminations, or new hires.
Typically the Internet makes things a lot easier.
Charlie: So representing my company I can go in and add a few people. If we add a new division and we take in another company, I can go and submit all of that electronically?
Daniel: Correct.
Charlie: Excellent.
Daniel: Some larger companies might have subdivisions and things of that nature all broken up. It's typically better to set that up ahead of time than later. But, correct, it's simple.
Charlie: Good, okay.
