Keeping track of your inventory & creating invoices by hand can take up a lot of time that can be spent in more productive tasks. LaceUp's DSD Software lets you create invoices off the truck while keeping track of all your sales, inventory, and product lot numbers. The best thing is, it can all be accomplished from your own device. Here is how easy this can be done with LaceUp:
1. To start your work day, tap on the three dots and hit Sync Data from Server. This will allow you to download any new information coming from the back office such as inventory, customers, and invoices.
2. Next, on your client list, select the customer you wish to invoice. If you tap on it, you can see all the customer's information such as address and phone number, also, the most recent invoices made for that customer. To begin invoicing, tap on the three dots and then Create/Clock In.
3. Into the next screen, tap the three dots and then Sales Invoice. Now, you can start creating your invoice for the customer. This section of the video explains how the template is laid out. To add new items to your invoice, tap on Search and type in the item name that you need. Once all items are added. tap Done.
4. Next step would be printing the Pick Sheet, which are other words for a pre invoice. This will allow you to print a pre invoice so your customer can double check that his order looks right, and if not, changes can be made. Once done, hit Finalize. On this window, you can collect your customer's signature as well as the payment received. Next, hit Print Batch. This will print the final invoice.
5. Credits can be applied the same way as a sales invoice. On the same screen, tap on Credit Invoice. In it, you can add items as credits and it will ask you whether those items are Dumps or Returns. Dump credits are items that won't go back to inventory or will be thrown away, and returns are items going back into your truck. Once finished, hit Done, and the steps on creating a credit invoice will be the same one as a sales invoice.
6. Once the route is over, it's time to do the End of Day Close. In it, you can request a Load Order. A load order is simply an order for merchandise that will be loaded for your next work day. Also, you can do a Route Returns as well as an Ending Inventory report. After that, you can print a End Of Day report. This has the statistics for all the sales, any changes in inventory, and payments collected. Once the report is printed. hit End of Day to send all the data into the back office.
7. All that information goes into the back office, where a designated person can easily export those invoices from our Laceup program to Quickbooks with a single click.
